Lectiva is a tutoring service provided by Sol Civico (“Lectiva”, “we”, “us”, “our”), operating as a sole trader. We are the “data controller” responsible for your personal data. You can contact us about privacy at solomoncivico@icloud.com.

2. What this policy covers

‍ ‍

This policy explains what personal data we collect when you use our website or our tutoring and essay-grading services, why we collect it, how we use and protect it, and the rights you have. It applies to parents and guardians, students, and visitors to our website.

3. Children and parental consent

‍ ‍

Lectiva tutors GCSE and A-Level students, many of whom are under 18. Our services for under-18s are arranged, booked and paid for by a parent or guardian, who provides consent on the student’s behalf. We do not knowingly collect personal data directly from a child under 18. If a student under 18 contacts us directly, we will ask a parent or guardian to confirm their consent before providing services. If you believe a child has given us personal data without parental consent, please contact us and we will delete it.

Online lessons take place on Bramble, which records the session and makes the recording available to the student (and, for under-18s, the parent or guardian) afterwards. By booking a lesson you agree to the session being recorded for this purpose. If you would prefer a lesson not to be recorded, please tell us before it starts. We treat recordings of students with particular care, limit who can access them, and keep them only for the period set out in section 8.

4. The personal data we collect

‍ ‍

Depending on how you use Lectiva, we may collect:

‍ ‍

•             Identity and contact details — parent/guardian name, email address and phone number; the student’s first name, school year, exam board and subject/level.

‍ ‍

•             Booking and scheduling information — lessons booked, dates and times, and any notes you provide.

‍ ‍

•             Payment information — card payments are processed securely by our payment provider (Stripe, via Squarespace). We do not see or store your full card number.

‍ ‍

•             Academic work and feedback — essays or work you submit for grading, and the written feedback we provide.

‍ ‍

•             Lesson recordings — online tutoring sessions are recorded through Bramble (see section 3), together with anything written on the shared whiteboard during the lesson.

‍ ‍

•             Communications — the content of emails, messages and enquiries you send us.

‍ ‍

•             Technical and usage data — limited information about how visitors use our website, collected through cookies (see the Cookie Policy below).

‍ ‍

We do not generally collect “special category” data. If you choose to share sensitive information (for example, a learning difficulty, special educational need, or a health condition relevant to tutoring), we will only use it with your explicit consent and to provide the service you have asked for.

5. Why we use your data, and our lawful basis

‍ ‍

Under the UK GDPR we must have a lawful basis for using your data. We rely on:

‍ ‍

•             Performance of a contract — to set up and deliver the tutoring or essay-grading you have booked, schedule lessons, and take payment.

‍ ‍

•             Legitimate interests — to respond to enquiries, keep records, prevent fraud, and understand and improve our website and services (where this does not override your rights).

‍ ‍

•             Legal obligation — to keep financial and tax records as required by law.

‍ ‍

•             Consent — for any optional marketing emails, and for any non-essential cookies that require it. You can withdraw consent at any time.

‍ ‍

Where we process a student’s data, our lawful basis is the contract with, and/or the consent of, their parent or guardian, together with our legitimate interest in delivering and improving the tuition.

‍ ‍

6. Who we share your data with

‍ ‍

We do not sell your personal data. We share it only with trusted providers who help us run Lectiva, and only as needed:

‍ ‍

•             Squarespace — hosts our website and provides our checkout tools.

‍ ‍

•             Squarespace Scheduling (Acuity) — manages bookings, appointment reminders and our calendar.

‍ ‍

•             Stripe — processes card payments securely.

‍ ‍

•             Zoom — hosts video consultations.

‍ ‍

•             Bramble — provides the online tutoring room and records lessons (see section 3).

‍ ‍

•             Our email and file-storage providers (for example, Apple iCloud) — to communicate with you and handle work submitted for grading.

‍ ‍

We may also disclose data if required by law, or to establish or defend legal claims.

‍ ‍

7. Sending data outside the UK

‍ ‍

Some of our providers (such as Squarespace, Squarespace Scheduling, Stripe and Zoom) are based in, or store data in, the United States. Where personal data is transferred outside the UK, we rely on safeguards recognised under UK data protection law — such as UK adequacy regulations, the UK Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework — to keep your data protected.

8. How long we keep your data

‍ ‍

We keep personal data only as long as we need it:

‍ ‍

•             Booking, payment and financial records — 6 years, to meet HMRC and accounting requirements.

‍ ‍

•             Essays, work and feedback — up to 12 months after the work is completed, then deleted, unless you ask us to keep or delete them sooner.

‍ ‍

•             Lesson recordings — kept in Bramble for [12 months] so students can revisit them, then deleted. You can ask us to delete a recording sooner.

‍ ‍

•             Enquiries that don’t lead to a booking — up to 12 months.

‍ ‍

9. How we protect your data

‍ ‍

We use reputable providers with appropriate security, limit who can access your data, and use secure (https) connections. No system is completely secure, but we take reasonable steps to protect your information.

10. Your rights

‍ ‍

Under the UK GDPR you have the right to:

‍ ‍

•             access the personal data we hold about you;

‍ ‍

•             ask us to correct inaccurate data;

‍ ‍

•             ask us to delete your data (“erasure”);

‍ ‍

•             ask us to restrict or object to how we use it;

‍ ‍

•             ask for a copy of certain data in a portable format; and

‍ ‍

•             withdraw consent at any time (without affecting processing already carried out).

11. Complaints

‍ ‍

If you have a concern about how we handle your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

12. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it took effect.
